Camp Policies

Excel with Chess Camp Schedule and Policies:

Camp Cancellation Policy:

  • $15 Cancellation Fee: 14 days before the first day of camp.
  • $35 Cancellation Fee: 7 days before the first day of camp.
  • After 8 PM the Friday before camp begins: No refunds.
  • No refunds are offered once the camp week begins unless illness prevents a student from attending.
  • No fee for transferring to another week.

Late Pick-Up Policy:

  • A $45.00 fee will be assessed for the first 1 to 5 minutes late (after a 5-minute grace period until 3:35 PM). After 3:35 PM, an additional $1.00 per minute will be assessed.
  • Failure to pay any additional fees may result in termination of participation.
  • Camps will close at 4:00 PM with all staff members unavailable to continue assisting campers after that time. If a child is not picked up by 3:40 PM, staff will contact parents/guardians and emergency contacts. If no one can be reached by closing time (4:00 PM), staff will contact local law enforcement to locate a safe location for the child.
  • A consistent pattern of late pick-ups may be grounds for dismissal from the program.

Sick/Illness Policy:

For the safety of Excel with Chess staff and campers, please refrain from attending camp if any of the following apply to the camper or any immediate, close-proximity family members:

  • -Fever within the past 24 hours
  • -Vomiting within the past 24-48 hours
  • -A positive Covid-19 test within the past 5 days
  • -Diarrhea within the past 24 hours (unless a doctor has confirmed a non-contagious cause)
  • -Cold or Flu symptoms (sore throat, cough, fever, etc.) within the past 24-48 hours

Campers displaying symptoms of illness during camp may be isolated from their group activity to wait with staff until a parent is available for pick-up. Prorated refunds are available for missed days due to illness.

Lunch and Food Policy:

Campers are required to bring a lunch daily and are encouraged to bring 2 additional snacks for morning and afternoon snack breaks. Please refrain from bringing food with peanuts for the safety of other campers.

Marketing and Photography Policy:

Excel with Chess may take and use photos from camp events and activities for training or marketing purposes in the future. I consent for my camper to be included in photographs, and will contact the Camp Director if I do not consent.

Allergy and EpiPen Policy:

I, the parent or legal guardian, will disclose any significant allergies to camp staff before camp begins to ensure the utmost care can be taken during the camp week. If the camper has a prescribed Epipen, I will direct staff on where it will be kept during the day (in the child’s backpack, on the child’s person, or with camp staff) as well as if camp staff are authorized to administer the EpiPen during an allergic reaction. If granting permission to administer an EpiPen, I waive and release Excel with Chess from any and all liability claims or losses arising out of or connected with administering the injection or providing assistance to a camper in a medical emergency. I agree that Excel with Chess assumes no responsibility for any dosage self-administered by a camper to themselves.

Assumption of Risks and Medical Consent:

I, the parent or legal guardian of the Participant(s), understand that participation in organized activities and events involves possible risks. These risks may include accidents and injuries despite the utmost care taken by the organizers. I acknowledge and accept full responsibility for any associated risks and outcomes. In the event of any injury or medical need during the camp, I grant my consent to Excel with Chess and its staff to seek necessary medical care for the Participant(s) as recommended by a medical professional. I agree to pay all costs and fees for medical care or treatment deemed necessary for the Participant(s).
